NOTLOUD / Commercial letting

Privacy notice

NOTLOUD LETTINGS LIMITED is responsible for personal information collected through this website. Contact info@notloudlettings.com about privacy matters. Our registered office is 126 Wish Hill, Eastbourne, England, BN20 9HL.

Information we collect and why

When you submit a request, we store your name, email address, the information you choose to provide about your business or property, the selected space, the request date and handling notes. We use this information to consider and respond to your enquiry, application, landlord discussion or maintenance issue. We do not ask for identity documents, bank details or sensitive information through these forms.

Legal basis and decisions

We process requests where necessary to take steps at your request before entering into a contract, to handle matters relating to an existing contract, or for our legitimate interest in managing business enquiries and property issues. Requests are reviewed by people. We do not carry out automated eligibility decisions through this website.

Access and retention

Website requests are stored privately and are accessible only to authorised administrators. Hosting providers process data as needed to operate the site. We do not sell enquiry information. The website automatically deletes request records and handling notes after 180 days using a daily scheduled clean-up. Any information separately required for an agreed tenancy or legal obligation must be handled under the relevant arrangements.

Security logs and backups

We keep website access and error logs for security and fault investigation. Access logs may include your IP address, request time and requested path. We do not record form submission contents in access logs. These logs are retained for 14 days and removed through daily maintenance.

Full site backups are stored securely on the same server and kept for 7 days, with daily removal of older backups. Backup copies may retain request information after it has been removed from the live website until those copies expire.

Your rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction or portability of your information, or object to processing. Contact us using the email above. You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk.
